Payments via Viking Pay (Rootline)

Learn how payments via Viking Pay (Rootline) work, when you receive payouts, how to refund customers, and where to find your invoices and pricing.

With Viking Pay, your online payments are processed securely and automatically through our payment partner Rootline. This fully integrates your bookings and payouts, without the need to work with an external payment provider yourself.

Benefits of Viking Pay

Viking Pay is designed to work seamlessly with your Viking Bookings environment and is the recommended setup for handling online payments within the platform.

Because Viking Pay allows maximum integration between the booking part and the payment part of your school, it finally creates possibilities such as: 

  • Faster and more streamlined refund handling, directly from a booking page
  • One central overview of bookings, payments and invoices
  • No more need for API's and external dashboards. 

Activate Viking Pay

To start accepting online payments through Viking Pay, please complete the onboarding process below:

During this process, you will be asked to provide your business details and complete the required verification (KYC). Once approved, Viking Pay will be activated automatically in your Viking Bookings environment.

By completing the onboarding, you confirm that you have read and accept the Viking Pay terms and conditions. 

Payout schedule

Payouts via Viking Pay are processed on a weekly basis.

  • Payouts are made every Wednesday

  • Each payout includes all successful payments from Monday through Sunday (previous week)

This means that all payments received during the week will be bundled and transferred to your bank account in the following Wednesday payout.

Note:

  • Depending on your bank, it may take 1–2 business days for the payout to appear in your account.
  • You can track which payments are included in each payout via the settlement report in your account. While payouts are made weekly, invoices (including settlement reports) are generated monthly on the 1st.

How to use Viking Pay

Most customers will pay online through the booking form, or through direct payment links in your email templates. These work the same way you're used to, no need to configure anything in particular. After onboarding, Viking Pay is automatically activated in your system and you can start taking payments. 

Initiating a payment

For walk-in customers, its possible to initiate an online payment directly:

  1. From either the daily overview or the relevant booking page
  2. Click 'add payment' and select 'Internet'
  3. Click the 'Initiate payment' button to start a transaction for which the customer can use their banking details. 

Initiating a refund

For bookings that are paid online, you can refund directly from your system. 

  1. Go to Bookings and click the relevant booking
  2. On the booking page, click on the price
  3. Click the refund button next to any paid amount and choose the refund amount and add a description that will appear with the transaction. 


Note: it's not possible to refund an amount that is higher than the original paid amount. This means if a booking was paid in multiple transactions, it needs to be refunded with multiple refunds as well. 

This function is exclusively available for Viking Pay (Rootline) users

Viewing your invoices

All invoices can be found in your account environment (admin login with 2fa required):

Exports for accounting

Which payments are included in an invoice, is displayed in a 'Settlement report'. These can also be downloaded in your account environment:

My account → Invoices

In addition to the settlement reports, you can use the Transaction and Bookings exports in the Reports section as usual.
