1. Enable gift voucher sales
- Go to Settings → Payment.
- Find Enable direct sale of voucher codes via widget?
- Select Yes.
- Click Save.
This enables the gift voucher sales widget for your school.
2. Add the voucher widget to your website
On the same Payment settings page, you will find Voucher widget code.
- Copy the voucher widget code.
- Open the page on your website where you want to sell gift vouchers.
- Add the code to an HTML embed element on that page.
- Save and publish the website page.
The widget allows customers to purchase gift vouchers directly from your website.
3. How customers buy gift vouchers
When someone purchases a gift voucher through the widget:
- They choose a voucher amount.
- They enter their email address.
- They complete the online payment.
- They receive a voucher code and a downloadable PDF gift voucher by email.
The voucher code can be used when booking through Viking.
Your school also receives an email notification when a gift voucher is purchased.
4. Customize the gift voucher PDF
Viking automatically generates a PDF gift voucher for the customer.
The PDF uses your school's logo and color from your system settings, so it matches your school's branding.
You can also customize some of the text displayed on the voucher.
To change these texts:
- Go to Settings → Translations.
- Find the relevant gift voucher texts.
- Update the available translations.
- Save your changes.
Not all text on the voucher is necessarily customizable.
After making changes, check a generated voucher PDF to confirm that the logo, colors and text appear as intended.
5. Find and manage purchased vouchers
Purchased gift vouchers are stored as personal discount codes in Viking.
To find them:
- Go to Settings → Products → Discount codes.
- Open the Personal tab.
- Find the relevant voucher.
- Open it to review its settings and usage.
Purchased vouchers can be identified by their description, which includes information about the voucher purchaser.
Important: Be careful when editing or deleting purchased gift vouchers. Customers have already paid for them, so changing their conditions could prevent them from using their voucher.
For more information about discount codes, see Create and manage discount codes.
6. Test your voucher setup
Before offering gift vouchers to customers, make a test purchase through your website.
Check that:
- the voucher widget displays correctly;
- the online payment works;
- the customer receives the voucher email and PDF;
- the PDF shows the correct logo, color and text;
- the voucher appears under Discount codes → Personal;
- the voucher code can be used in your booking form;
- your school receives the purchase notification.
This helps you confirm that the full purchase process works as expected.
