Use Settings → Payment to configure the main payment settings for your Viking account.
These settings control your currency, payment provider and how Viking handles unpaid bookings.
Important: Payment settings do not determine whether a customer is sent to the payment provider after completing a booking form. That is configured separately for each booking form.
Open Payment settings
Go to:
Settings → Payment
The page contains settings for:
- Currency
- Payment Service Provider
- Require payment?
- Allow on-line payment by customer?
- Can instructors accept payments?
- voucher sales
Set your currency
Under Currency, select the currency used for your bookings and payments.
This is your main Viking currency.
Make sure this matches the currency you use for your prices and payment provider.
Choose your Payment Service Provider
Under Payment Service Provider, select the provider used to process online payments.
Viking supports multiple payment providers. The available providers are shown directly in the dropdown.
If your account uses Viking Pay, the payment provider is shown as Rootline.
Provider-specific setup is covered separately in the Payment providers documentation.
Understand payment redirects and required payment
Two different settings determine what happens around an online payment:
- the booking form determines whether the customer is redirected to the payment provider;
- Require payment? determines whether the customer must have paid before their lessons can remain scheduled.
These settings are separate.
The booking form controls the payment redirect
Whether a customer is sent to the payment provider after making a booking is configured in the booking form settings.
This means you can have different booking forms with different payment flows.
For example:
- one booking form can send customers directly to online payment;
- another booking form can complete the booking without redirecting to payment.
Selecting No under Require payment? does therefore not disable online payments.
A customer can still be redirected to the payment provider and successfully pay online.
Choose what happens when payment fails
The Require payment? setting has two options:
- No
- Payment is required before scheduling
The most important difference becomes visible when an online payment fails.
Payment is required before scheduling
When this option is enabled, the customer must complete the required payment before their lessons can be scheduled.
If the booking form redirects the customer to the payment provider and the payment fails:
- the selected lesson date is not kept in the planning;
- the customer must complete the payment again, for example from their customer dashboard or through a payment link;
- after payment, the lessons must be scheduled again.
Viking does not reserve or remember the originally selected lesson date after a failed payment.
This prevents unpaid customers from keeping places in the planning.
No
When Require payment? is set to No, customers can still be sent to the payment provider when the booking form is configured that way.
If the payment succeeds, the booking is paid normally.
If the payment fails:
- the lesson remains scheduled;
- the booking remains unpaid or partially unpaid;
- the planning team must follow up the outstanding payment later.
For many schools, this can be the more practical workflow because a temporary payment problem does not remove the customer's scheduled lesson.
Which option works best depends on whether your school prefers to protect the schedule from unpaid bookings or prefers to keep booked lesson dates while following up payment separately.
Allow customers to pay online
Use Allow on-line payment by customer? to control whether customers are allowed to make online payments themselves.
This setting is about whether online customer payments are available.
It does not determine whether the amount due is a deposit or the full booking amount. Deposits and payment amounts are configured separately as part of your booking and product setup.
The current available choices are:
- Always allow
- No
- Deposit only
Allow instructors to register payments
Under Can instructors accept payments?, choose whether instructors are allowed to register payments from their instructor dashboard.
When set to No, payment registration is normally handled by planners or other administrators.
When set to Yes, instructors can:
- see whether a participant has paid;
- add a payment when a customer pays on location, for example by cash or card.
This registers the payment in Viking.
It does not give the instructor full access to the payment administration.
Voucher sales
The Payment settings page also contains settings for selling voucher codes directly through a widget.
These include:
- Enable direct sale of voucher codes via widget?
- Voucher widget code
Voucher setup is covered separately under Discounts & vouchers.
Check your setup
After changing payment settings:
- Click Save.
- Check the relevant booking form to confirm whether it should redirect customers to online payment.
- Make a test booking.
- If online payment is enabled, complete a test payment and confirm that the booking and payment behave as expected.
When testing Require payment?, also consider what should happen when a payment fails. This is the main difference between the two payment-required workflows.
