Understand experience levels

Learn how XP and milestone levels track customer progress across different activities.

Viking tracks a customer's experience as they complete lessons.

Each completed lesson adds 1 XP. When a milestone plan is connected to the product, Viking uses that XP to determine the customer's current milestone level for that activity.

This means customers can have different progress levels for different sports.

How XP works

A new customer starts at 0 XP.

Every time a lesson is marked as Completed, Viking automatically adds 1 XP for that activity.

For example:

  • 0 completed lessons → 0 XP
  • 1 completed lesson → 1 XP
  • 2 completed lessons → 2 XP

Without milestones, Viking can show this progress simply as an XP value.

When a milestone plan is active, the milestone level becomes the more useful representation of that experience.

How milestone levels use XP

Each milestone in a plan has an XP required to complete this milestone value.

Viking uses these XP requirements to determine which milestone level the customer has reached.

For example, a milestone plan could be configured as:

  • Level 1 → 1 XP
  • Level 2 → 2 XP
  • Level 3 → 3 XP

With this setup, one completed lesson normally moves the customer to the next level.

The standard milestone plans supplied by Viking generally follow this structure.

Milestone plans can also use different XP requirements. For example, Level 2 could require 3 XP instead of 2. In that case, the customer remains at the previous level until the required XP has been reached.

For changing these requirements, see Customize a milestone plan.

Different sports can have different levels

The original XP system did not distinguish sufficiently between different types of lessons.

Milestone plans solve this by connecting progress to the relevant activity.

For example, a customer could have:

  • L2 for kitesurfing;
  • S1 for surfing.

The short name shown for the customer comes from the milestone plan. Examples include L1 for a kitesurfing level or S1 for a surfing level.

When customers participate in several sports with different milestone plans, Viking keeps the displayed progress appropriate for each sport.

When progress is updated

XP is added automatically when a lesson is marked as Completed.

When the new XP value reaches the requirement for the next milestone, the customer's level updates automatically.

You can see the customer's XP or milestone level in places such as:

  • the Daily overview;
  • the customer profile;
  • My Progress in the customer dashboard.

What customers see in My Progress

When a booked product has a milestone plan, the customer can follow that plan in My Progress.

Customers can view:

  • milestones they have already reached;
  • the information connected to those milestones;
  • the next milestone and its available theory or information.

Later milestones remain locked until the customer reaches the required progress.

If the customer books activities connected to different milestone plans, My Progress can contain multiple plans.

New milestone theory e-mail

When completing a lesson makes new milestone theory available, Viking can send the New milestones theory available e-mail.

This e-mail is sent approximately two hours after the lesson is completed, when a new theory page has become available for the customer.

The template can be reviewed under Settings → E-mail templates.

For editing e-mail content, see Set up email templates.

Adjust a customer's experience manually

A planner can change a customer's XP manually when their current experience does not match the value in Viking.

You can do this from:

  • the customer's level in the Daily overview;
  • the experience section on the customer profile.

This is useful when, for example, a customer already had lessons or experience before they started using your Viking system.

Customers can also provide information about their previous experience during the booking process. You can use this information to set their starting experience to the appropriate level.

Changing the XP value also changes the milestone level that is available to the customer according to the XP requirements configured in that milestone plan.

XP and milestone levels are not always the same

XP and milestone level are related, but they are not the same thing.

XP records the experience gained from completed lessons.

Milestone levels interpret that XP using the requirements defined in a milestone plan.

With the standard plans, these values often progress together. A customized plan can require multiple XP before a customer moves to the next level.

For setting up milestone plans, see Set up milestones.

For changing milestone names, XP requirements and content, see Customize a milestone plan.
