Use the Capacity overview

The Capacity overview gives you a compact weekly view of how busy your schedule is and where instructor capacity is still available.

Instead of showing individual participants and instructors, it summarizes the most important numbers for each start time.

Open the Capacity overview

Go to Planning → Capacity.

The overview shows one week at a time, divided by day and start time.

You can use the filters to narrow the overview by:

• location;
• product.

This is useful when you want to check capacity for a specific activity or location without looking at the complete schedule.

Understand the numbers

For every start time, Viking can show three numbers:

• St — number of students currently planned;
• Gr — number of planned lesson groups;
• In — number of instructors still available.

For example, if a start time shows:

• St: 3
• Gr: 1
• In: 2

this means that three students are currently planned in one group, with two instructors still available for additional lessons.

The figures are based on the same planning information used in the Daily overview and Day planner.

See where capacity is still available

Use the Capacity overview to quickly identify:

• busy start times;
• quieter periods;
• start times where instructors are still available;
• days where additional bookings can still be accommodated.

This makes it easier to review the complete week without opening every day separately.

Understand the capacity colors

The cells can change color as the number of planned students approaches your configured maximum capacity.

Viking uses the maximum capacity set in the general settings as a reference. For example, if your maximum capacity is set to 20 students, the colors become progressively busier as the number of planned students moves closer to that limit.

The overview uses colors ranging from lower to higher capacity, including:

• blue;
• green;
• orange;
• red.

Setting a maximum capacity is optional, but it makes the visual overview more useful because the colors can better reflect how busy each start time is.

Capacity is an overview only

The Capacity screen is read-only.

You cannot move participants, change instructors or adjust lessons from this view.

Use the Daily overview, Day planner or other Planning tabs when you need to make changes.

When to use the Capacity overview

The Capacity overview is especially useful when you want to quickly answer questions such as:

• Which start times are busiest this week?
• Where do we still have instructor capacity?
• Which days still have room for additional bookings?
• How busy is a specific product or location?

Use it as a weekly planning overview rather than as a screen for managing individual lessons.
