The Inventory overview shows when inventory items are in use and how much is still available throughout the day.
Viking normally reserves inventory automatically based on bookings and rentals. Use this overview to check availability, see what is using the inventory, and add manual reservations when needed.
Open the Inventory overview
Go to Planning → Inventory and select the date you want to review.
Each inventory item shows how much of that item is reserved at different times during the day.
For example, you can use the overview to quickly check whether enough SUP boards are still available for another lesson or rental.
Choose between Timeline and Time slots
You can view inventory in two ways.
Show timeline
Show timeline displays each inventory item across a continuous timeline for the day.
Use this view when you want to see how inventory usage changes throughout the day and where periods of high usage or full capacity occur.
Show time slots
Show time slots shows the configured start times in Viking and the number of inventory items still available at each start time.
Use this view when you want to quickly check availability for a specific start time.
You can switch between both views depending on what you need to check.
Understand the timeline
Reservations appear directly on the timeline for each inventory item.
The color changes as more of the available inventory is being used:
- green — inventory is still comfortably available;
- yellow — a larger part of the inventory is reserved;
- red — the inventory is fully reserved.
Move your pointer over the timeline to see the exact quantity for that period, for example how many items are reserved out of the total inventory.
If an inventory item is fully reserved, products that depend on that item can no longer be booked for the affected time.
See what is using the inventory
Click a reserved section of the timeline to see its Inventory claims.
This shows why the inventory is reserved, including:
- the start and end time;
- the reserved quantity;
- the booking, participant or instructor responsible for the reservation.
This is useful when you want to understand why fewer items are available than expected.
Automatic inventory reservations
In most cases, you do not need to reserve inventory manually.
Viking calculates the required inventory from the booking or rental.
For example, if a SUP lesson requires one SUP board per participant, Viking reserves the required number of boards for the time of the lesson. The same inventory can also be used by rental products.
This means lessons and rentals using the same inventory are taken into account together.
For information about configuring which products use inventory, see Set up inventory tracking.
Add a manual reservation
Use Add reservation when inventory needs to be reserved without creating a normal booking in Viking.
For example, a group may arrive last minute and want to rent five SUP boards without going through the normal online booking flow.
To reserve the inventory:
- Click Add reservation.
- Select the Inventory item.
- Enter the start date and time.
- Enter the end date and time.
- Enter the Reserved quantity.
- Add a description so planners know what the reservation is for.
- Click Save.
The manual reservation is then included in the Inventory overview and reduces the quantity available for other bookings during that period.
When to use the Inventory overview
Use the Inventory overview when you want to:
- check how many boards or other inventory items are still available;
- see at what times inventory is heavily used or fully reserved;
- check availability for a specific start time;
- find which bookings, rentals or other reservations are using an item;
- reserve inventory manually for activities that are not represented by a normal booking.
For configuring inventory items and connecting them to products, use Set up inventory tracking.
