Use the Start times planner to make small adjustments to the start times of scheduled lessons.
For example, if a lesson is scheduled for 09:00 but the conditions are expected to be better at 09:30, you can move the complete lesson to the new start time.
Open the Start times planner
Go to Planning → Start times and select the date you want to manage.
Each lesson appears as a block on a timeline.
The block shows:
- the instructor;
- the product;
- the location;
- the current start time.
You can filter the overview by:
- start time;
- location;
- product.
Change the start time of a lesson
Use the arrows on the lesson block to move the lesson earlier or later.
Each step changes the start time by 15 minutes.
When you move a lesson, Viking moves:
- the instructor;
- the complete group of participants assigned to that instructor.
You do not need to move each participant separately.
Changes made here are also reflected in the rest of the planning.
Make time changes shortly before approval
We recommend making these adjustments shortly before you approve the lesson.
Moving a lesson to a time that is not configured as a standard system start time can prevent additional customers from booking with that instructor.
For example, if an instructor's lesson is moved from 09:00 to 09:15, and 09:15 is not a system start time, new customers can no longer be added to that instructor through the normal online booking flow.
For this reason, use the Start times planner mainly for final operational adjustments once most bookings for that lesson are already in.
Customer notifications
Moving a lesson in the Start times planner does not automatically notify the customer.
This is intentional, so you can first make the required planning adjustments without sending multiple updates.
The customer receives the relevant notification when the lesson is approved.
Group lessons by instructor
Enable Group by instructor to place all lessons for the same instructor together.
This makes it easier to review the instructor's complete schedule for the day and check whether there is enough time between lessons.
For example, you can use this view to make sure an instructor has enough time for a break before their next lesson.
When to use the Start times planner
Use this planner for small operational changes to lessons that are already scheduled.
Typical examples include:
- moving a lesson slightly because of wind or weather conditions;
- creating more time between an instructor's lessons;
- adjusting the day's schedule shortly before lessons are approved.
The Start times planner is not used to configure the standard start times available in Viking. Those are managed separately in the Planning settings.
