View and export transactions

Find individual payments and refunds, check partial payments, and export transaction data for a selected period.

The Transactions report shows individual payments and refunds registered in Viking during a selected period.

Use this report to check payments received, review refunds, or export transaction data for your accounting.

Open the Transactions report

  1. Go to Reports → Transactions.
  2. Select the date range you want to review.
  3. Choose Show transactions to view individual transactions.

Each transaction is listed separately, with details such as:

  • Date: When the transaction was registered.
  • Handled by: The person who registered or handled the transaction.
  • Customer: The customer associated with the transaction.
  • Payment method: How the payment was recorded.
  • Amount: The transaction amount.
  • Item: The related booking.
  • Booking date: When the booking was made.
  • First course date: The date of the first lesson.

You can also select Show totals to switch from the transaction list to a summary view.

How are partial payments shown?

Transactions are recorded individually, even when they belong to the same booking.

For example, a customer books a €300 lesson package and pays in two installments:

  • January 15: €150
  • February 15: €150

The Transactions report shows two separate payments.

If you select January, you'll see the first payment. If you select February, you'll see the second.

The report uses transaction dates, not the original booking date.

How are refunds shown?

Refunds are also included in the Transactions report.

A refunded amount appears as a negative transaction, such as -€60.

This makes it possible to review money received and money returned during the selected period.

Export transactions

  1. Open Reports → Transactions.
  2. Select the period you want to export.
  3. Click Export in the top-right corner.

You can use the exported transaction data to check recorded payments or process the information in your accounting software.

Transactions versus Export

The two reports serve different purposes:

  • Transactions: Shows individual payments and refunds. A booking can have multiple transactions.
  • Export: Shows bookings, with filters for booking date, payment date, payment status, and other booking details.

Use Transactions when you need to understand which payments were recorded during a period.

If you use Viking Pay and want to review payment settlements or fee invoices, use the separate Viking Pay dashboard.
