Upgrade a customer to a course package

Add the remaining lessons when a customer decides to upgrade from a single lesson to a course package

Sometimes a customer books a single lesson first and later decides to continue with a larger course package. Instead of charging the customer for the remaining lessons at the regular single-lesson price, you can create a dedicated variant for the package upgrade.

The original booking remains unchanged. A staff member creates a new booking for the remaining lessons using the upgrade variant.

Create the package upgrade variant

Add a new variant to the same product that the customer originally booked.

This variant should represent only the part of the course package that the customer still needs to book.

For example, if a customer first books one lesson and later upgrades to a five-lesson package, the upgrade variant should contain the remaining four lessons.

Set the number of additional courses

Configure the variant for the number of courses that still need to be added to the customer's booking history.

For example:

  • Upgrade from 1 lesson to a 3-lesson package → 2 additional courses
  • Upgrade from 1 lesson to a 5-lesson package → 4 additional courses

The first lesson is not booked again because it already exists in the customer's original booking.

Set the upgrade price

Set the price of the upgrade variant to the difference between the full package price and the amount the customer already paid for the single lesson.

For example:

  • Single lesson: €99
  • Five-lesson package: €440
  • Package upgrade: €440 − €99 = €341

The upgrade variant therefore contains four additional courses for €341.

After the customer books the upgrade, the original lesson and the additional booking together equal the intended five-lesson package price.

Restrict the variant to staff

The package upgrade is intended for customers who have already booked a lesson. New customers should not be able to select this special variant themselves.

In the advanced settings of the variant, set Bookable by to Only by admin and planner.

This allows staff members to use the upgrade variant while keeping it unavailable as a normal customer booking option.

Create the additional booking

When the customer decides to upgrade:

  1. Open the existing customer in Viking.
  2. Create a new booking for the customer.
  3. Select the package upgrade variant.
  4. Add the booking with the remaining courses.

The original booking is not converted or replaced. Viking creates a separate booking containing the additional lessons.

Together, the original booking and the upgrade booking make up the complete course package.

Test the setup

Before using the upgrade variant for customers, test the complete workflow.

Check that:

  • the variant contains the correct number of additional courses;
  • the upgrade price plus the original lesson price equals the full package price;
  • only the intended staff roles can book the variant;
  • the new booking is added to the correct customer;
  • the original booking remains unchanged.

Once these checks are correct, staff can use the variant whenever a customer decides to continue from a single lesson to a larger course package.
