Add a payment to a booking

Register cash or card payments from the day planner or a booking, or initiate an online payment.

When a customer pays at your school, you can register the payment directly in Viking. This keeps the booking's outstanding balance and payment records up to date.

Most schools register payments from the day planner, where they can see everyone scheduled for that day and any outstanding amounts.

You can also add payments from an individual booking.

1. Register a payment from the day planner

The day planner is usually the easiest place to register payments received at your school.

  1. Open the day planner.
  2. Find the customer in the list of scheduled lessons.
  3. If the booking is not fully paid, you will see the outstanding amount on the right.
  4. Click Add payment.
  5. Enter the amount received.
  6. Select the payment method, such as Cash or Card.
  7. Save the payment.

The payment is registered against the booking, and the outstanding amount is updated.

Important: Selecting Cash or Card records a payment that has already been received. It does not process a new payment or charge the customer's card.

2. Add a payment from a booking

You can also register a payment directly from the booking page.

  1. Go to Bookings and open the relevant booking.
  2. Click the price to open the payment details.
  3. Select Add payment.
  4. Enter the amount received.
  5. Choose the payment method.
  6. Save the payment.

This works the same way as registering a payment from the day planner.

3. Initiate an online payment

You can also start an online payment directly from Viking.

This is an alternative when a customer wants to pay online rather than through your regular card terminal.

  1. Open Add payment from the day planner or booking page.
  2. Select Internet.
  3. Click Initiate payment.
  4. Have the customer complete the payment through your payment provider.
  5. Check that the payment has been completed successfully.

Depending on your payment provider, Viking may also display a QR code that the customer can scan to complete the payment on their own device.

This option works with Viking Pay and other supported payment providers. The available payment options, including QR codes, depend on your provider.

For most schools, registering payments received through their regular card terminal is the more common workflow.

Can instructors register payments?

By default, payment registration is handled by planners or other authorized users.

You can also allow instructors to register payments from their instructor dashboard.

Go to Settings → Payment → Can instructors accept payments? and select Yes.

Instructors can then see whether a customer has paid and register payments received on location, such as Cash or Card.
