Configure newsletter subscriptions

Connect Mailchimp for automatic opt-in subscriptions or export newsletter subscribers manually.

Viking can collect newsletter subscriptions during the booking process.

You can connect Mailchimp to add subscribers automatically, or collect subscriptions in Viking and export them manually for use with another newsletter platform.

1. Choose how to manage newsletter subscriptions

Go to Settings → Marketing and find the newsletter settings.

You can choose between three options.

No newsletter

Newsletter subscriptions are disabled in the booking process.

You can still export customer details, but this does not mean those customers have agreed to receive newsletters.

Newsletter with Mailchimp

Connect your Mailchimp account to automatically add customers who subscribe during booking to your selected Mailchimp audience.

Custom newsletter

Collect newsletter subscriptions in Viking without connecting a newsletter platform.

You can then manually export subscribers and import them into your preferred newsletter system.

2. Connect Mailchimp

If you use Mailchimp, you'll need:

  • Your Mailchimp API key.
  • Your Audience ID, which identifies the Mailchimp audience where subscribers should be added.

To configure the integration:

  1. Select Newsletter with Mailchimp.
  2. Enter your Mailchimp API key.
  3. Enter your Mailchimp Audience ID.
  4. Save your settings.

You can find these details in your Mailchimp account:

When Mailchimp is configured, the booking process includes a newsletter subscription checkbox.

Customers who select this checkbox are automatically added to the connected Mailchimp audience.

3. Collect subscriptions for manual export

If you use another newsletter platform, select Custom newsletter.

Viking displays the newsletter subscription checkbox during booking and stores whether customers have subscribed.

To export your subscribers:

  1. Go to Customers.
  2. Enable the Subscribed to newsletter filter.
  3. Export the filtered customer list as a CSV file.
  4. Import the CSV into your newsletter platform.

Important: This is a manual process. Viking does not automatically synchronize subscribers with newsletter platforms other than Mailchimp.

Only import customers who have actually subscribed.

4. Customize the subscription checkbox

You can change the wording of the newsletter checkbox to match your school's communication.

  1. Go to Settings → Translations.
  2. Find the system text I want to receive the newsletter.
  3. Edit the wording in the language you want to customize.

Changes to system texts are saved automatically.

For more information, see Change system texts and translations.

5. Test your newsletter setup

Before relying on the configuration, make a test booking.

Check that:

  • The newsletter subscription checkbox appears.
  • The checkbox text is correct.
  • The subscription is recorded when the customer opts in.
  • If you use Mailchimp, the subscribed customer appears in the correct Mailchimp audience.
  • If you use manual exports, the customer appears when filtering by Subscribed to newsletter.
