Set up a camp product

Create a multi-day camp that automatically schedules consecutive days

Camp products are designed for activities that run across multiple consecutive days. Customers select the start date and time, and Viking Bookings automatically schedules the remaining days of the camp.

Camp products do not use instructor availability. If instructor availability needs to determine whether the camp can be booked, use a Course product instead.

Create the camp product

Go to Products and add a new product.

Select the appropriate product category and choose Camp as the Product type.

Configure the other product settings you need. See Set up products and variants for an explanation of the general product settings.

You do not need a separate product category specifically for camps. You can use an existing category or create a separate category if that better matches how you want to organize your booking form and email templates.

Configure the camp variant

Add a variant to define the booking and pricing options for the camp.

The variant determines how many courses are included in the camp. Viking Bookings uses this to schedule the camp across consecutive days after the customer selects the first date and time.

Configure the student and course ranges, price, and any other variant settings you need.

Set camp availability

Camp availability works differently from availability for individual courses.

When configuring the Product Availability Rules for a camp, add only the start date and time when customers can begin the camp.

You do not need to add availability separately for every day of the camp. After a customer selects an available start time, Viking Bookings automatically schedules the remaining days based on the camp variant.

Add each available camp start time that customers should be able to select.

Use instructor availability with a multi-day course

A Camp product does not use instructor availability.

If instructor availability should determine whether customers can book the activity, create it as a Course product instead of a Camp.

In the advanced variant settings, select Daily Repetition, Only Use Product Availability for the First Day.

With this setup, product and instructor availability need to match on the first day. Viking Bookings then schedules the remaining courses on consecutive days. On the following days, the student is scheduled to the instructor when an instructor is available.

Use this setup when you need a multi-day activity but still want instructor availability to be considered when the customer books.

Add the camp to a booking form

Add the camp to the booking form customers will use to book it.

For the date selection, you can use either a list or calendar view.

The List view was designed specifically for camps and makes the available camp start dates easy to scan. You can also use the calendar view if that works better for your booking flow.

Test the camp

Before making the camp available to customers, make a test booking.

Check that:

  • the correct camp start dates are available;
  • the customer only needs to select the start date and time;
  • the correct number of days is scheduled;
  • the price is calculated correctly;
  • the booking appears correctly across the scheduled days;
  • the date selection works as expected in the booking form.
