Set up Viking in multiple languages

Configure booking forms, product translations and customer communications for multiple languages.

If you have customers from different countries, you can offer booking forms and customer communication in multiple languages.

To do this, translate your email templates, product information and booking forms for each language you want to support.

Before you start

We recommend completing and testing your setup in your primary language before adding another language.

For each additional language, review your product translations, email templates and booking forms.

1. Translate your email templates

Email templates are managed separately for each language. The language you are editing is determined by the language selector in the top-right corner of Viking, not by a setting inside the template.

  1. Go to Settings → E-mail templates.
  2. Use the language selector in the top-right corner to switch to the language you want to edit, such as Dutch.
  3. Open the relevant email template.
  4. Enter the translated subject and email content.
  5. Make sure the template is enabled and save your changes.

Important: When you change the language selector, the entire Viking interface switches to that language. Always check which language is selected before editing an email template.

What if a translation isn't available?

A template can be configured to use Use generic template or default language instead of a language-specific email.

For example, if a Polish customer books and the Polish template uses this option, they may receive the default English email rather than a Polish translation.

If you want customers to receive a translated email, select their language, enter the translated content and enable that template.

For more details, see Translate email templates.

2. Translate your product categories

  1. Go to Settings → Products → Categories.
  2. Open a product category.
  3. Find the Translations section.
  4. Enter the category name in the additional language.
  5. Save your changes.

Repeat this for the categories you want to display in that language.

3. Translate your products and variants

Products

  1. Go to Settings → Products.
  2. Open a product.
  3. Find the Translations section.
  4. Enter the translated product name.
  5. Save your changes.

Product variants

  1. Open the product containing the variant.
  2. Find the Variants section.
  3. Open the relevant variant.
  4. Find Translated title on booking form.
  5. Enter the translated title and save your changes.

Repeat this for the products and variants offered through your booking forms in the additional language.

4. Create a booking form for each language

Each booking form has its own language setting.

  1. Go to Settings → Booking forms.
  2. Create a new booking form or open the form you want to configure.
  3. Under Language, select the language for that booking form.
  4. Configure the products and other settings.
  5. Save the booking form.

Use a separate booking form for each language you offer.

When a customer books through a form in a particular language, Viking normally assigns that language to the customer. This determines the language used for their customer communication.

For more information, see Set up a booking form.

5. Customize system texts if needed

Viking already includes system texts in multiple languages.

You can adjust these texts if you prefer different wording for your school.

Go to Settings → Translations to edit the available translations.

See Change system texts and translations for details.

6. Test your multilingual booking flow

Before sharing a booking form in a new language, make a test booking.

Check that:

  • The booking form uses the correct language.
  • Product categories, products and variants show the intended translations.
  • The booking confirmation and other relevant customer emails use the correct language.
  • Email templates aren't unexpectedly using the generic or default-language fallback.
  • Any SMS templates you use are available in the required language.

Repeat this for each additional language.
