A five-day windsurf rental is really five availability checks

A five-day windsurf rental spans overlapping bookings, with a capacity check for each day of the rental period.

At Duotone Pro Center Tenerife, customers can book windsurf equipment for several days online. A five-day rental looks like one booking to the customer, but there needs to be rental capacity on all five days.

Viking checks that capacity across the complete rental period automatically, even when other rentals start and finish on different dates.

In short

  • Let customers book windsurf equipment for multiple days online.
  • Set the maximum rental capacity for a product or product category.
  • Viking checks the required capacity across the complete rental period.
  • Offer consecutive days as well as flexible rental days.
  • Keep multi-day rentals bookable online without manually checking every date.

One rental can affect availability for many days

Imagine your windsurf center has a maximum rental capacity of 10.

One customer rents from Monday to Friday. Another starts on Wednesday and rents until Saturday. A third customer only rents on Thursday and Friday.

Your available rental capacity is now different on almost every day of the week.

When the next customer wants to rent equipment for five days, checking the first day is not enough. There needs to be capacity on every day included in that rental.

A five-day rental is really five connected availability checks.

The longer the rentals become and the more their dates overlap, the harder this becomes to manage manually.

Set the rental capacity once and let Viking manage the overlap

In Viking, you can set the maximum number of slots in the availability rules for a rental product or product category.

If that maximum is 10, Viking uses those availability rules when customers book. A new multi-day rental needs to fit within the available rental capacity across the days it requires.

So if a customer wants to book five consecutive days, Viking checks that period against the other rentals already booked. If the required capacity is available, the customer can book. If one of those days no longer has enough capacity, Viking takes that into account automatically.

You do not need to compare every new request manually with all the rental bookings already in your calendar.

Consecutive days or flex days

Not every windsurf customer wants to rent in the same way.

Someone visiting for a week may want equipment for five consecutive days. Another customer might want five rental days during a ten-day holiday and choose the days that best suit their plans and the conditions.

Viking can support both models.

With consecutive days, the rental runs across a continuous period and the capacity needs to be available throughout that period.

With flex days, customers can choose their rental days separately. Viking checks the capacity on the days they select.

This lets a windsurf center sell multi-day rentals in a way that fits how customers actually spend their holiday, without turning every booking into a manual availability check.

This is rental capacity, not individual equipment tracking

There is an important distinction here. This setup does not depend on Viking's Inventory Tracking.

A windsurf center may have a large range of advanced boards and sails for rental and simply know that it can comfortably serve a maximum number of rental customers at the same time. That maximum can be set through the product availability rules.

The question Viking needs to answer is then not whether one specific board is still available. It is whether there is enough rental capacity to accept another customer across the days they want to book.

This also means the rental capacity does not need to include all the beginner equipment used for lessons. At many windsurf centers, beginner equipment is readily available and kept separate from the more advanced equipment used for rentals.

Let customers book the rental while Viking checks the dates

Viking's Booking Engine lets customers book anything from a single rental day to a multi-day rental based on current availability.

That means you can let a customer choose one, three, five, ten or even more rental days without someone on your team first having to check every date against all existing bookings.

The center decides how much rental capacity it wants to make available. Viking keeps the overlapping bookings within those rules.

Your team sets the capacity. Your customers can book within it themselves.

Duotone Pro Center Tenerife uses Viking for much more than rentals

Duotone Pro Center Tenerife uses Viking Bookings across its watersports center, not just for windsurf rentals.

Its online rental setup includes multi-day windsurf rentals with both consecutive and flexible rental days. Alongside that rental operation, the center uses Viking for lessons including windsurfing, kitesurfing, surfing and e-foiling.

For the windsurf rental itself, the availability can still be kept very specific. The maximum rental capacity is based on the advanced equipment available for rental. Beginner windsurf equipment used for lessons does not need to reduce those rental slots.

That is what makes the setup useful for a larger windsurf center: each part of the business can have availability rules that fit the way it actually operates, while rentals and lessons are still managed from the same Viking system.

As Joost Freke from Duotone Pro Center Tenerife says about working with Viking: “Working with Vikings for many years now and it made our life much easier. Very happy with the service!”
